Important Dates and Deadlines:

• Opening of registration and abstract submission – February 2025
• Deadline for ESR session proposal submissions – 30 April 2025
• Deadline for abstract submissions eligible for oral presentations – Extended until 15 July 2025
• Deadline for early registration with reduced fees – Extend until July 15, 2025
• Notification of acceptance for oral or poster presentation – 1 September 2025
• Deadline for hotel booking of blocked rooms – 1 September 2025
• Deadline for "late breaking poster" abstract submissions – 31 October 2025
• Deadline late registration fee payment and closure of online registration – 15 November 2025

* If full payment has not been received until June 30, 2025 the late fee will automatically be applied.
** After the closure of the online registration only onsite registrations are possible and an additional onsite handling fee will be charged.

For ÖGMBT members with an active and paid membership, a member discount voucher code with a EUR 30 discount on the registration fee is available after login at the ÖGMBT website and can be entered during the payment process.

The registration fee includes:

REFUNDS & CANCELLATIONS

All cancellation and refund requests must be sent to the conference office at office@foodsystemsmicrobiomes.org.

The following cancellation terms apply to registration fees:

• until June 30, 2025: 80% reimbursement
• until September 30, 2025: 50% reimbursement
• after September 30, 2025: no refund, however substitutions of attendees can be made.

Payments for social events or satellites are not eligible for any refunds. Some social events and satellites will only be held if a minimum number of participants are reached.

PAYMENT

All payments are made via the online registration system (login box at the right of the top navigation menu) and can be made at the end of the registration process. Please note that payment of registration fees is required before abstract submission!

We offer several options for online payment (available options may depend on country) via our payment processor Mollie which can be selected when placing an order:

* Apple Pay will only be available as an option on the payment screen if a supported device is used.

** SEPA bank transfers are only supported from SEPA Countries (mainly EU)!. Paying via SEPA bank-transfer will send you an e-mail from our dutch payment provider Mollie (Stichting Mollie Payments - mollie.com) with the attached Payment data (IBAN, BIC & payment reference). Please allow for up to 30 minutes for the payment info to arrive in your mailbox and check your Spam folder.

Registration will only be valid upon receipt of the full payment according to the deadline indicated. A letter of invitation can only be issued upon request after the registration fee has been paid.

AMI membership sponsoring for students

Applied Microbiology International is sponsoring our early career session this year and offering all our student delegates a free year's membership upon registration. During registration please tick the box to claim your free year's membership and to receive details of the travels grants you will be eligible to apply for.

ABSTRACT SUBMISSION

After completion of your registration, you can log in to the online registration system (login box at the top right of the top navigation menu) with the instructions from your registration confirmation e-mail and submit an abstract for the conference. All abstracts must be submitted using the online registration system and require payment of the registration fee before submission. Submitted abstracts will be considered for either poster or oral presentation (short talk or science flash) by the scientific committee and all participants will be automatically notified via e-mail on September 1st of the acceptance of their abstract and type of presentation. The acceptance and selection status of your abstract is also available via the registration system.

Please prepare an abstract consisting of a title (250 characters max.), up to 10 authors and an abstract body (2500 characters max.). In the online editor, you may use simple formatting elements such as bold, italic, underline, super & subscript and special characters in both the title and abstract.

PRESENTING YOUR DATA

ORAL PRESENTATIONS

Please submit your presentation on a USB-Stick in PDF or MS Office format to the technician in the lecture hall at the latest in the break 2 hours before your session. . Short Talks are planned to be 12 minutes talk and 3 minutes discussion. Science Flash Talks are a mixed format with a short oral presentation and a poster Science flashes are planned to be 5 minutes talk and the discussion will take place at the poster during the respective poster session.

POSTERS

Posters should be prepared in portrait layout with poster size not exceeding A0 format. Further details regarding poster sessions will be announced in due time.
